The Ontario CMMS Landscape Is a Graveyard of Silos
Walk into any ten Ontario plants and you will find a predictable mess:
- SAP PM in the big players (steel, automotive, oil and gas) — powerful, expensive, and nobody on site really knows how it works
- IBM Maximo in utilities and federal facilities — enterprise-grade, locked behind IT
- Fiix (Toronto-born, Rockwell-owned) — popular with mid-market manufacturers
- MVP Plant / eMaint / UpKeep — smaller facilities, often deployed without integration scoping
- Excel — still running more Ontario maintenance programs than any CMMS combined
Here is the problem: none of these systems share data natively with each other, with your SCADA, with your ERP, or with your analytics stack. Vendors promise "open APIs," but in practice, those APIs are rate-limited, poorly documented, or behind a six-figure licence upgrade.
Why This Actually Matters
CMMS data is the richest record of how your plant really runs. Work orders tell you which assets fail, how often, who fixed them, what parts were used, and how long production was down. That data is gold — and it is trapped.

Four Integration Approaches (and When to Use Each)
There is no universal right answer. The approach depends on data volume, latency needs, and how much your CMMS vendor actually lets you access.
1. REST APIs (direct point-to-point)
Fastest to build, cheapest upfront, fragile long-term. Good for simple use cases: push completed work orders to a data warehouse nightly. Bad for anything real-time or multi-system. Most Ontario plants start here and outgrow it within two years.
2. Middleware / iPaaS (MuleSoft, Boomi, Azure Logic Apps)
Central integration hub with pre-built connectors. Scales well, handles multiple systems, gives IT governance control. Higher licensing cost ($30K-$150K/year) but worth it once you have more than three systems to connect. Our preferred approach for most mid-market Ontario clients.
3. Data warehouse (Snowflake, Databricks, Azure Synapse)
Pull data from every system into one analytics layer. Perfect for reporting, BI, and AI/ML. Not suitable for real-time work order creation — this is a read model, not a write model.
4. Event streaming (Kafka, Azure Event Hubs)
Real-time event backbone. A vibration sensor trips a threshold, an event fires, the CMMS auto-generates a work order within seconds. Powerful but requires serious engineering discipline. Overkill for plants with fewer than 200 critical assets.

Real-Time vs Batch: The Honest Trade-Off
Every vendor pitches real-time integration like it's always better. It isn't.
Batch sync (nightly or hourly) is simpler, cheaper, more reliable, and sufficient for 80% of maintenance data. Cost, parts usage, completed work order history, technician hours — none of this needs to move in milliseconds.
Real-time sync matters for exactly three things: condition-based work order triggering, spare parts availability at the moment of planning, and safety-critical lockout/tagout status.
Plants that insist on real-time everything end up paying 5x more and firefighting integration outages every week. Be surgical.
Case: Ontario Food Processor Cuts Work Order Delays 60%
A food processing plant near London, Ontario was running Fiix for maintenance and SAP for procurement. Every work order needing parts had to be manually re-keyed into SAP by a purchasing clerk, approved, and then the parts arrived two to five days later. The average work order sat in "waiting on parts" status for 3.8 days.

- Checked SAP inventory in real time
- If in stock, auto-reserved the part and updated Fiix with a pickup location

How to Scope a CMMS Integration Project
Do not let a vendor sell you a platform before you have done this work yourself.
Step 1: Audit
List every system that touches maintenance data — CMMS, ERP, SCADA, historian, condition monitoring, mobile apps, spreadsheets. Document who owns each, what data it holds, and what APIs or export formats it supports.
Step 2: Map
For each pair of systems, define the data flows you actually need. Not "everything connects to everything." Specific fields, specific directions, specific frequencies. Most projects have 8-15 real integration points, not 100.
Step 3: Build
Pick your architecture. Build the highest-value flow first (usually work order completion → ERP cost coding). Prove value in 60 days before expanding.
Step 4: Test
Parallel-run the old manual process alongside the new integration for 30 days. Reconcile every record. Integration bugs that slip past testing become data trust problems that take years to recover from.
Step 5: Deploy and monitor
Integrations rot. APIs change, credentials expire, schemas drift. Budget 15-20% of build cost annually for maintenance of the integration itself. Most Ontario projects fail here — not at build, but at year two when nobody is watching.
The Contrarian Take
If your CMMS vendor's sales team is telling you their "connector marketplace" will solve your integration problem, ask them to show you a live customer running it in production in Canada. Nine times out of ten, those connectors are demo-ware. Plan to build custom integration and be pleasantly surprised if a pre-built one works.

The fastest CMMS integration wins in Ontario are almost always the same: work order cost flowing to the ERP, vibration or thermal alerts auto-creating work orders, and inventory reconciliation between CMMS and procurement. Pick the one that hurts most and build it properly.
